A User represents an individual within your organization who can log in to their own environment πŸ”.
Each user can be linked to a physical phone ☎️ or softphone πŸ’» to make and receive calls, and can also connect to the Qaller app πŸ“± for mobile calling and presence features.

This guide will show you how to add a new user and configure their basic settings step by step βš™οΈ.

🧩 Adding User Details

  • Click on β€œ+ Add” βž•
    This opens the New User window where you can enter all required information.

  • Fill in the user details πŸ“

    • First name – Enter the user’s first name.

    • Last name – Enter the user’s last name.

    • E-mail βœ‰οΈ – This email address will be used for login and notifications.

    • User’s number ☎️ – Assign the internal phone number (extension) for this user.

    • Login πŸ” – Optional: define a custom login name if needed.

    • Password πŸ”‘ – You can type a password manually or click Generate to create a secure one automatically.

  • (Optional) Upload a profile photo πŸ–ΌοΈ
    Drag and drop a picture or click the placeholder to select a file manually.

  • Enable β€œEnforce password change at the next login” βœ…
    This ensures the user sets their own secure password the first time they log in.

After filling in the basic user details, continue with the Additional Settings section.
These options define how the user behaves within the phone system and what access they have.

  1. Caller ID ☎️
    Select which number will be shown when the user makes outgoing calls.

  2. Call anonymously πŸ™ˆ
    Toggle this option on if you want the user to hide their number during outgoing calls.

  3. Assign to device πŸ”—
    Link the user to a physical desk phone or softphone device. This connection enables calling and receiving calls through that device.

  4. Call recording πŸŽ™οΈ
    Choose when calls for this user should be recorded (e.g. Never, Always, On demand).

  5. Language 🌐
    Select the preferred interface language for the user.

  6. Role πŸ§‘β€πŸ’Ό
    Choose the access level:

    • User with access to only User Panel – limited access for standard users.

    • Administrator – full access to manage settings and users.

  7. Incoming call routing πŸ”„
    Defines how incoming calls to this user are handled. The default option β€œFixed” means calls will always ring on the assigned device.

After creating the user and setting up the basic details, you can enable additional features to customize the user’s experience and functionality.

    Grants access to the Operator Console, where users can manage and monitor multiple calls simultaneously.

  • Voicemail πŸ“¬
    Activates voicemail for the user, allowing callers to leave messages when the user is unavailable.

  • Fixed-Mobile Sim Card πŸ“‘
    Link the user’s mobile SIM card with the PBX system, ensuring seamless call handling between desk and mobile devices.

  • Hotdesking 🧳
    Allows the user to log in to any compatible desk phone and instantly load their own settings and number.

  • Multiple Caller ID ☎️
    Enable if the user needs to make calls using different outgoing numbers (useful for multi-company setups).

  • Busy / Reject Settings 🚫
    Configure how incoming calls are handled when the user is busy β€” for example, automatically reject calls on every other device.
